TRAVEL POLICY

A Legally Binding Agreement for All Travelers

Thank you for choosing STL Travels. These Travel Policies form a legally binding agreement between you (“Traveler”) and STL Travels. By registering for a tour and submitting payment, you acknowledge and accept all terms outlined below.

Activity Level & Physical Requirements

STL Travels tours involve consistent walking and general physical activity. Travelers should expect:

  • 2–3 miles of walking per day on most itineraries
  • Up to 5–7 miles per day in certain destinations (Europe, historic cities, uneven terrain)
  • Navigating stairs, boarding vehicles, and managing personal belongings

STL Travels does not provide one‑on‑one assistance. Travelers requiring support must bring a physically able companion. No refunds or credits are issued if a traveler opts out of scheduled activities.

Room Sharing (If offered)

  • Roommates may be assigned if you do not book with a companion
  • Rooms are typically two‑bed, non‑smoking
  • Roommates are matched by same sex and/or similar age
  • No special roommate requests
  • Room type cannot be changed after final payment

Payments & Late Fees

  • Non‑refundable deposit required at reservation
  • Monthly payments required to keep your reservation active
  • Missed payments result in cancellation if not corrected within 24 hours of notice
  • Late final payments incur a $250 fee
  • All payments must be made in U.S. Dollars via PayPal, Venmo, personal check, or money order (with approval)

What’s Not Included

Your tour cost does not include:

  • Airfare, baggage fees, departure taxes
  • Passports, visas, visa photos
  • Personal purchases, laundry, alcohol, à la carte meals
  • Individual travel arrangements
  • Any item not listed on the itinerary

Traveler Information Required

Travelers must:

  • Be 18 years or older
  • Upload a valid passport copy during registration
  • Ensure passport validity extends 6 months past trip end
  • Submit arrival/departure flight details by final payment date
  • Provide emergency contact, medications, and dietary restrictions

Failure to obtain proper travel documents may result in cancellation penalties.

Arrival, Transfers & Delays

Travelers must allow enough time to deplane, collect luggage, and reach the meeting location. STL Travels will not delay the group departure due to late arrivals.

Travelers arriving late must join the group at their own expense.

Cancellation Policies

If STL Travels Cancels

All monies paid will be refunded. STL Travels is not responsible for airline penalties or non‑refundable airfare.

If Traveler Cancels

  • Cancellations must be in writing (email or mailed letter)
  • Must be received 30 days before departure
  • Less than 30 days = NO REFUNDS
  • No exceptions

Refunds for third‑party payments follow the vendor’s policies.

Travel Insurance

STL Travels strongly recommends:

  • Trip Cancellation Insurance
  • Emergency Medical/Evacuation Insurance

Travelers must contact insurance providers directly with coverage questions.

Itinerary Changes & Force Majeure

Itineraries may change due to weather, delays, safety concerns, or other uncontrollable factors. Comparable alternatives will be provided. Force majeure events (natural disasters, war, strikes, illness, etc.) release STL Travels from liability.

Removal or Voluntary Departure

STL Travels may remove a traveler who:

  • Cannot meet physical requirements
  • Is disruptive
  • Negatively affects group dynamics

No refunds will be issued. Voluntary departure also results in no refunds.

Third‑Party Operators

STL Travels partners with reputable third‑party providers but is not responsible for their actions, omissions, or failures.

 Use of Traveler Images

Photos/videos taken during tours may be used in promotional materials unless the traveler opts out in writing before final payment.

Assumed Risk

Travel involves inherent risks, including injury or death. By participating, travelers voluntarily assume all risks associated with travel.

Release of Liability & Covenant Not to Sue

Travelers agree to:

  • Release STL Travels from all liability related to participation
  • Never initiate legal action against STL Travels or its representatives

This agreement extends to heirs, family members, and legal representatives.

Governing Law & Legal Provisions

  • Policies are governed by Missouri law
  • The prevailing party in litigation may recover attorney fees
  • Policies, invoices, and registration documents form the complete agreement
