If you are interested in serving as a Travel Coordinator with STL Travels, please submit your Letter of Interest using the application form below no later than 11:59 p.m. (Midnight) on August 15, 2026.
Applicants should review the available trips listed on the STL Travels website under the Future Trips section and indicate the specific trip or trips they are interested in coordinating.
All applications will be reviewed following the closing date. Applicants will be notified of their selection status on or before August 23, 2026.
STL Travels reserves the right to select candidates based on organizational needs, trip requirements, qualifications, and demonstrated ability to support travelers and coordinate group travel experiences.
Travel Coordinator (Volunteer Position)

Position Type: Temporary Volunteer Appointment (One-Year Term)
This volunteer appointment is active for a period of one year and may be renewed based on organizational needs, performance, and available travel opportunities. Individuals interested in continuing their service may apply for renewal beginning 60 days prior to the contract expiration date.
Position Summary
STL Travels is seeking an enthusiastic and organized Travel Coordinator to assist with planning, organizing, and coordinating group travel experiences and special events. This position is ideal for individuals who enjoy travel, event planning, customer service, and logistics management.
The primary responsibility of the Travel Coordinator is to ensure that STL Travelers have a positive, enjoyable, and well-organized travel experience. This includes serving as the primary point of contact for trip participants, confirming all travel arrangements and accommodations, communicating important trip details, and ensuring that all pertinent information related to the trip is accurate and finalized prior to departure.
Travel Coordinators are expected to provide exceptional customer service, assist travelers with questions or concerns, and help ensure that each trip operates smoothly from planning through completion. Coordinators will also work closely with STL Travels leadership, vendors, hotels, transportation providers, and event organizers to verify reservations, schedules, and other trip-related logistics.
This is a volunteer position and does not provide a traditional salary or hourly wage. However, approved travel-related benefits and accommodations may be provided based on the specific trip assignment.
Travel Benefits and Perks
While this position is unpaid, selected Travel Coordinators may be eligible for the following trip-related benefits when assigned to coordinate approved travel experiences:
- Hotel accommodations during scheduled trips
- Ground transportation via charter bus or other approved transportation methods
- Event admission and ticket costs related to assigned trips
- Potential trip stipend, subject to trip budget, responsibilities, and available funding
Exclusions
The following expenses are the responsibility of the Travel Coordinator and are not provided by STL Travels:
- Airfare or airline transportation
- Travel insurance
- Personal expenses, including meals, excursions, not covered by the trip itinerary
- Incidental hotel charges
- Passport, visa, or other travel documentation fees
Essential Duties and Responsibilities
- Plan and coordinate group travel itineraries and schedules.
- Serve as the primary point of contact for travelers before, during, and after trips.
- Communicate trip details, schedules, policies, and updates to participants.
- Coordinate lodging, transportation, ticketing, and event logistics.
- Assist with traveler registration and documentation collection.
- Monitor trip activities and ensure adherence to established itineraries.
- Address traveler concerns and help resolve issues as they arise.
- Maintain accurate records of participant information and trip details.
- Collaborate with STL Travels leadership to ensure successful travel experiences.
- Represent STL Travels professionally at all times.
Qualifications
- Strong organizational and communication skills.
- Ability to manage multiple tasks and deadlines.
- Customer service, event planning, or travel coordination experience preferred but not required.
- Reliable transportation for local meetings and trip departures.
- Ability to travel as required by assigned trips.
- Professional demeanor and positive attitude.
- Must be at least 40 years of age.
Appointment Term
This volunteer appointment is for a period of one (1) year from the effective start date. Travel Coordinators serve on an assignment basis and may participate in one or more approved STL Travels trips during the appointment period.
Renewal of the appointment is not guaranteed and is contingent upon organizational needs, performance, adherence to STL Travels policies and procedures, and the availability of future travel opportunities. Individuals interested in continuing their service may submit a renewal request beginning 60 days prior to the contract expiration date.
STL Travels reserves the right to modify, suspend, or terminate the appointment at any time based on operational needs, conduct standards, or the inability to fulfill the responsibilities of the position.
Physical Requirements
- Ability to travel and remain active for extended periods during events and trips.
- Ability to lift and transport light materials, luggage, or event supplies as needed.
